Position Overview
The Field Operations Department Administrator leads, coordinates, and supports the Field Operations team that operate and maintain the water system to efficiently provide safe and reliable service to our customers.
Work Location and Schedule
This position will be onsite at Alabama Water Utilities in Pelham, AL.
What You'll Do
- Support daily Field Operations administrative functions including procurement, vendor coordination, inventory management, document control, and reporting.
- Coordinate contractors and vendors for construction follow-up work, maintenance services, and operational support activities.
- Manage purchasing processes in SAP, including purchase requisitions, purchase orders, goods receipts, service orders, and inventory transactions.
- Maintain vendor compliance documentation such as W-9s, insurance certificates, and diversity certifications.
- Coordinate ordering and distribution of uniforms, field supplies, safety equipment, and operational materials.
- Maintain electronic and hard-copy operational records, permits, inspections, maintenance documentation, and engineering support files.
- Collect and analyze operational data to prepare monthly reports, presentations, dashboards, and performance tracking metrics.
- Support break report administration by coordinating documentation, invoicing, and collections related to third-party damages.
- Provide administrative support to Field Operations leadership, including travel arrangements, scheduling, expense reporting, and meeting coordination.
- Support preventative and predictive maintenance programs by coordinating schedules, tracking maintenance activities, and maintaining CMMS-related records.
- Manage maintenance and operational data tracking, reporting, and trend analysis to improve efficiency and reduce reactive maintenance.
- Collaborate across departments to support operational goals, process improvements, and continuous quality initiatives.
- Promote and uphold all company safety standards, policies, and PPE requirements.

- Experience using ERP systems required; SAP experience preferred, including Service Management (SM), Materials Management (MM), Device Management (DM), and Customer Relationship Management (CRM) modules.
- Ability to maintain professionalism, foster positive customer relations, and support cross-functional operational teams.

- Ability to successfully complete required pre-employment screenings and testing.
Education & Experience
- High School diploma or equivalent required.
- Minimum of 3 years of experience in an operations-related environment such as utilities, engineering, construction, manufacturing, or similar industries preferred.
- Minimum of 2 years of ERP system experience required; SAP experience strongly preferred.
Work Environment and Conditions
Physical Demands
May be required to sit for long periods of time, must be able to walk long distances, may work long and irregular hours under demanding conditions, must be able to operate a Company passenger vehicle or pickup truck, must have adequate vision and hearing that is required to communicate with personnel in person or by telephone and may require moderate lifting and carrying up 25 pounds.
Work Environment
May work outside and may be subjected to adverse working conditions and inclement weather.
